Collaboration
Collaboration is a system that facilitates communication and knowledge exchange between employees and / or partners of a company or organization.
Employees – Organization Chart
- Supports the full impression of an organization’s chart hierarchical structure and gives the ability to system administrators to make changes.
- Supports the assignment of roles / positions to users with a terminology that is both configurable and familiar to the company’s / organization’s executives (e.g. General Manager, Manager, Section Manager, Employee).
- Allows the correlation of employees with specific roles in different departments / administrations.
Work Areas
- In the work areas the users may create folders / sub folders and place files.
- Every work area may be either private or of public use
- Every entity on the organization chart (administration, department, etc.) will have a special work area which will be visible by employees belonging to it.
- Every employee is automatically assigned his own work space the moment he accesses the system.
- Every employee has access to his department’s files and the files of the higher administrations.
- The ad hoc creation of work groups is supported, by employees in different departments sharing a common work area
- The mass upload of files into a folder is supported.

- The ciphering of files with sensitive content is supported.

User capabilities
The system’s users may do the following:
- Create, rename, move and delete files in their own work area but also in the work area they belong.
- May upload, download files, delete and modify preexisting files (versioning is kept).
- Share files and their content with other employees in order to cooperate.
- May comment on a file. Comments appear by date to all the users.

- Updated, in a centralized list, on the total of changes / addition in files and memorandums.
File Versioning
- The capacity of a full text search in a file’s content is provided.

- Files may be searched by creation date, author, department-section they belong to or / and content.
File search
- The capacity of a full text search in a file’s content is provided.
- Files may be searched by creation date, author, department-section they belong to or / and content.
- The search retrieves files from the personal space of each user and from the total of shared files with that user.
Notifications
- The system has the capacity to create automatic notifications when a file is added or modified.
- Notifications are sent by e-mail to all users that share the specific file.
Internal correspondence management
- The system has the capacity to send messages to individual users or organizational structures.
- With every message sent through the system a corresponding notification is sent via e-mail.
- The receiver acknowledges the delivery of the message by electronically signing and checking a corresponding box.
- The sender may see for every receiver of the message the date he signed for its delivery.
- Messages may be classified by the sender as of urgent, high or low importance.
